Meal Planning for Events and Social Gatherings

Seminars, conferences, workshops, and other social events offer buffets and planned meals for guests and participants. The meals served during these activities may vary from one event to the other. Some vents opt for formal meals served in plates to guests at a seated table while other event organizers opt for less formal setting with a buffet table setup at one corner. But no matter what the choice is, it is also important to take into consideration some of the dietary requirements that guests participants may have.

Coffee is often offered as the main beverage in seminars. It is true that there are plenty of coffee drinkers, and that caffeine is most probably needed to perk up audience for a long series of discussions. But it consideration must be given to other participants who may not prefer coffee as beverage. Alternatives must also be offered such as decaffeinated coffee or tea for others.
The dietary requirements of each participant must also be considered. There may be participants who are vegetarians, or who would prefer white meat instead of dark. Some participants may also be fruitarians. There are also cases wherein participants may require specific health diets such as low-calorie diets, low-sugar, or health conditions such as intolerance to other food groups. Keeping accurate and detailed information about the food requirements of each participant is important. It is also important for the vent organizer to make the caterer aware of such requirements.

Often the event venue already offers catering facilities so it will not be very hard to coordinate with the caterers. In other cases, an independent caterer may actually be hired for the event. When choosing a caterer for your event, make sure that you check their credentials first. You may also be able to get some feedback from the caterers previous customers.

Lengthy workshops and seminars will require multiple meals, snacks, and plenty of beverages. When planning these meals make sure that they are satisfying but not too heavy on the stomach to maintain the energy of your crowd. Ask several menu suggestions from your caterer and seek some advice on which meal plans will be most suitable for our audience. For special dietary requirements, make sure that you provide the correct information on who would be served a specific dietary meal. If you choose a buffet setting, request from your caterer to label these special dietary items such as “Sugar Free” items, “Low Fat”, or “Low Calorie” food items.

Aside form the usual coffee and biscuits during breaks and snack time it would be more interesting to include several beverage options such various teas, juice, and even bottled water. Fruit and other nut-free snacks can also be served to satisfy pangs of those who may have allergies to other food groups. Potable boiling water must also be available to those who may want to bring their own choice of teas and brews.

Providing several meal options and being able to give the proper dietary requirements of event participants is important when planning meals for events and gatherings.
